Organizations & Spaces

Organizations​

Every piece of data in Ohmventory — Spaces, Items, custom Item Types, Fields, Units, Labels — is owned by an Organization. An Organization is the account boundary: everything created inside one Organization is only visible to that Organization's members, and every collaboration feature (invites, roles, join codes) operates at the Organization level.

You never interact with a "user account" that owns data directly — you always act as a member of at least one Organization. This is intentional, and it's what lets Ohmventory treat "just me" and "my whole team" as the same underlying structure:

  • An individual is a one-member Organization, where that one member is also the owner. When you sign up for personal use, Ohmventory silently creates this Organization for you — there's no separate "personal account" concept to learn, and nothing about your data changes if you later decide to invite someone else in.
  • A team is a multi-member Organization, with people invited in and assigned roles (owner, admin, member). See Collaboration for how invites, join codes, and roles work.

If you belong to more than one Organization (for example, a personal one and a work one), an org switcher lets you swap which one you're currently viewing — everything in the app (Spaces, search, settings) is always scoped to whichever Organization is currently active.

Spaces​

A Space is a top-level physical site that belongs to an Organization: your home, an office, a warehouse, a workshop. An Organization can have any number of Spaces, and they're independent of each other — a Space has no parent and can't be nested inside another Space.

Spaces are intentionally simple:

  • A Space has a name and, optionally, a photo.
  • Spaces are flat — there is no Space-within-a-Space. If you need internal structure ("upstairs," "the east shelf unit"), that's what Locations are for, nested inside a single Space.
  • Deleting a Space deletes everything inside it — its entire Location tree and every Item in that tree. The app always asks for confirmation before doing this, since it can't be undone.

In the app, Spaces are shown as a card grid — the first screen you land on once you're past onboarding.

Everything you do day-to-day — browsing Locations, adding Items, searching — happens within an Organization's Spaces. Organization-level concerns (membership, roles, invites) are handled separately in Settings; see Collaboration.
